Below you will find the details to BIC's refund policy based upon our study contract. If you are thinking about ending your studies, make sure to contact a member of the students office. BIC Refund Rules and Policies

§ 1 Scope and General Payment Regulations

(1) The following provisions apply to all programs offered by BIC Berlin International College GmbH, registered in the Commercial Register of the Local Court of Berlin-Charlottenburg under HRB 145948, VAT ID: DE285882823, Tax Number: 37/229/30040, Registered Office: Martin-Hoffmann-Str. 18, 12435 Berlin, Germany (hereinafter referred to as “BIC”).

(2) The applicable tuition fees and payment deadlines are published on the BIC website and invoiced to the student electronically prior to the start of the program.

(3) All transfer, banking, or transaction fees incurred in connection with payments shall be borne by the student.

(4) If a payment deadline is exceeded, a first payment reminder will be issued upon expiry of the payment deadline. Two further written reminders will be sent at weekly intervals.

(5) If full payment has not been received after the third reminder, BIC is entitled to exclude the student from the program with immediate effect. In such a case, BIC is entitled to withhold all aca demic records, certificates, and program results until full payment has been received.

(6) All invoices and payments must be made exclusively in Euro (EUR).

(7) This agreement does not affect the student’s statutory rights under applicable German consumer and contract law.

§ 2 Refund Regulations

(1) Withdrawal before Program Start If the student withdraws from the contract in writing before the official start of the program, 80% of the total agreed tuition fees will be refunded.

(2) Withdrawal after Program Start After the program has commenced, tuition fees will not be refunded unless otherwise specified in the following paragraphs.

(3) Late Arrival Late arrival due to delayed visa issuance does not entitle the student to a refund for missed classes or program weeks.

(4) Visa or APS Rejection before Program Start If a visa application or APS review is definitively rejected before the program begins, a full refund of the tuition fees will be granted, minus a processing fee of 10% of the total tuition fee. The rejection must be documented by appropriate written evidence.

(5) Visa or APS Rejection or Failure to Meet BIC Attendance Requirements after Program Start If a visa application or APS review is definitively rejected after the program has begun and the stu dent has already had access to on-site or virtual instruction, a partial refund of the tuition fees will be granted in accordance with the pro rata temporis principle. The rejection must be documented by appropriate written evidence. The same applies if, after the program has commenced, the student is no longer able to attend in person classes due to residence requirements that can no longer be met or due to a mandatory at tendance requirement at the BIC location. In such cases, the refund shall also be calculated proportionally in accordance with the pro rata temporis principle, subject to the following binding provisions: o The agreed total duration of the program shall be decisive. o Commenced months are considered fully utilized and will be charged in full; calculation by days or weeks shall not apply. o From the calculated refund amount, an additional processing fee of 10% of the total tuition fee will be deducted.

(6) Rejection by uni-assist or APS after Instruction Has Begun If the student begins the program before receiving a decision from uni-assist or APS and the outcome is negative after classes have started, resulting in ineligibility to participate, a refund shall be granted in ac cordance with paragraph (5). The rejection by uni-assist or APS must be submitted in written form.

(7) Cancellation of a Program by BIC before Course Start If BIC is unable to conduct a booked program, a full refund of the tuition fees will be granted, minus a pro cessing fee of 10%. The student may, if available, be considered for an alternative program.

§ 3 Refund Procedure

(1) Withdrawal from the contract must be declared exclusively in writing.

(2) Refunds will only be processed upon submission of a fully completed and signed refund application form, which is available from the BIC Admissions Office.

(3) The student confirms that they have read, understood, and accepted all BIC refund rules and policies.
